Mess Billing System
The mess billing system is based on daily meal consumption and monthly settlements. Students are provided with a mess card that deducts charges automatically during meals. Monthly bills are generated at the end of each month, and any outstanding balance must be settled before the next billing cycle begins.
Rebate Policies
- Holiday Rebates: Students who take leave during holidays receive a rebate on hostel rent for the duration of their absence.
- Academic Leave Rebates: For students taking academic leaves due to health issues or personal reasons, partial rebates are granted based on approval from the administration.
- Family Emergency Rebates: In cases of unforeseen circumstances such as family emergencies, students may apply for temporary waivers with supporting documentation.
Fee Waivers, Concessions, and Scholarships

Eligibility Criteria
- SC/ST/PwD Category: Students belonging to these categories are eligible for full fee waivers and additional benefits such as stipend support and travel allowances.
- EWS Category: Students from economically weaker sections receive partial fee concessions based on income slabs and family size.

Payment Procedures & Refund Policy
All fees must be paid through online banking or NEFT/RTGS transfers to the designated account of Government Polytechnic Champawat. Payments made via cash or demand drafts are not accepted.
Payment Deadlines
- Semester Start Date: Fees must be paid within 7 days of semester commencement.
- Monthly Installments: If opted for installment payments, students must settle dues by the last day of each month.
Late Fee Calculations
- First Month: Late fee of INR 500 per month
- Second Month: Late fee of INR 1,000 per month
- Third Month Onwards: Late fee of INR 2,000 per month
Refund Policy
In case of withdrawal or transfer from the institution, a refund will be processed according to the following rules:
- Before 15 Days: Full refund minus administrative charges of INR 1,000
- Between 15-30 Days: 80% refund minus administrative charges
- After 30 Days: No refund is granted except in exceptional cases approved by the administration
Refunds are processed within 60 working days after submission of withdrawal forms and supporting documents. Students must ensure that all dues are cleared before applying for refunds.
