The tuition fee covers instruction, laboratory access, and library resources. It is paid annually and includes all course materials and software licenses.

Hostel rent varies based on room type and amenities. The university provides three types of accommodation: Single Occupancy Rooms (SOR), Double Occupancy Rooms (DOR), and Triple Occupancy Rooms (TOR). Each category offers different levels of comfort and facilities, including air conditioning, Wi-Fi, and laundry services.

Mess advance is collected at the beginning of each semester to cover meal expenses for the entire term. The billing system is automated, ensuring transparency in charges and easy payment options.

The Student Benevolent Fund supports students facing financial hardships by providing emergency assistance and scholarships for academic excellence.

Medical fees cover basic healthcare services provided on campus. Students are encouraged to register with the medical center for regular check-ups and preventive care.

Gymkhana fees support sports activities, fitness programs, and recreational facilities available on campus. These funds ensure that students maintain physical health alongside academic pursuits.

Examination fees cover administrative costs associated with conducting tests, evaluating answers, and issuing certificates.

Hostel & Mess Charges

The hostel charges at Govt Polytechnic Khatima are structured to accommodate different preferences and budgets. Single rooms offer privacy and comfort for individual students, while shared rooms promote social interaction and cost-sharing among peers.

Mess billing operates on a monthly basis, with charges calculated based on the number of meals consumed. Students can opt for flexible plans that allow them to adjust their consumption according to their schedule.

Rebate policies are available for students who leave campus temporarily due to family emergencies or academic commitments. These rebates ensure fair compensation for unused facilities and services.

Fee Waivers, Concessions, and Scholarships

Financial assistance is available to eligible students through various waiver schemes:

• SC/ST/PwD Category: Full fee waiver is granted to students belonging to these categories with valid certificates.
• EWS Category: 50% concession on tuition fees and full waiver on hostel charges for economically disadvantaged students.
• MCM (Minority Community): 25% reduction in tuition fees for minority community students meeting income criteria.

Eligibility criteria include annual family income not exceeding Rs. 3 lakh, academic performance above 70%, and submission of required documents such as caste certificate, income proof, and Aadhaar card.

The application process involves filling out an online form on the university portal, uploading scanned copies of documents, and attending a verification session at the campus office.

Payment Procedures & Refund Policy

All payments must be made through digital modes including NEFT, RTGS, UPI, or credit/debit cards. Physical cash payments are discouraged to ensure security and transparency.

Late fees are charged at 2% per month on outstanding balances beyond the deadline. Students are advised to pay within the stipulated period to avoid penalties.

The refund policy applies to students who withdraw from the program before completing the academic year. Refunds are processed after deducting administrative charges and pending dues. Withdrawal requests must be submitted in writing with supporting documents and approved by the competent authority.
